Welcome Parents to Oxford Academic Summer School Tour Programmes

Congratulations! Your student has chosen to participate in the Oxford Academic Summer School Tour Programmes at Magdalen College, University of Oxford. We are confident this experience will be enriching, transformative, and one they’ll carry with them for years to come. Thank you for supporting your student not just during the application and preparation stages, but also as they embark on this adventure and transition back home afterward.

The Oxford Academic Summer School is designed to equip students with the knowledge, skills, and tools that foster both academic success and personal growth. Participating in one of our international tour programmes is a key step in this journey, helping students expand their horizons while gaining independence and confidence.

Our top priority is the safety, health, and well-being of all students throughout their time abroad. We offer a wealth of resources, including pre-departure briefings, comprehensive medical insurance, and a robust emergency response system, to ensure they have a secure and supported experience. Our expert coordinators, with deep knowledge of regional contexts, are available to provide guidance before, during, and after the tour.

While your student is abroad, they may face challenges related to adjusting to a new environment, culture, and pace of life. It’s perfectly normal for them to feel a mix of excitement and occasional stress. We encourage you to utilise the tips and resources on our website to help support your student through this transition.

We recommend regular communication with your student to stay connected and informed about their experiences. Our coordinators are also available should you have any concerns or need additional support.

 

What to Expect When Your Student Joins

If your student is considering joining one of our summer tour programmes, you probably have plenty of questions. We appreciate your interest in their decision to take part in this once-in-a-lifetime academic opportunity, and we’re here to help you through every step of the process, from selecting a program to welcoming your student home.

How Can You Help Your Student?

There are several ways you can support your student in ensuring they have a positive, fulfilling experience. Consider the following suggestions to help them prepare and adjust:

Pre-Departure Preparation

Take time to research the destination and program your student has chosen. Where will they be staying? Why did they decide this program is the right fit for them? By learning more, you can help ease any worries or uncertainties.

Encourage your student to carefully review all program orientation materials and ensure they have completed important tasks, such as understanding payment plans, and preparing to pack.

If you don’t already have a passport, consider applying for one in case you decide to visit your student or if an emergency arises. It’s always good to be prepared.

Keep copies of essential documents such as your student’s passport, medical prescriptions, and contact details for program coordinators and academic advisors. Having this information readily available can be helpful in case of emergency.

While Your Student is Abroad

While your student is overseas, provide them with encouragement and remain confident in their ability to navigate new challenges. Keep communication channels open, and ensure they know how to reach you easily. Make sure you also have their contact information and key details for the program staff and coordinators.

If your student doesn’t call or contact you as planned, stay calm—travel plans often change unexpectedly. Have a backup plan to get in touch in case you need it, but try to give them the space to explore and grow independently.

Care, Health Care, Support & Medical Emergencies

Looking after your sons and daughters continues to be a privilege and responsibility. One that we, as parents, take seriously. There is a well understood and practiced triage of care and support between the students, to our graduate resident advisor, our professors and then programme director. Over the counter remedies and medicines are easily accessed from local pharmacies around the College. Outside of this, there is a good network of tiered support. There is a medical centre in partnership with our host College where General Practitioner (GP) appointments can be booked called Northgate Health Centre, located 1.3 miles away in Market Street in Oxford, down near the side entrance to Boots the Chemist. U.S partner institutions provide telephone helpline support to students for their study abroad students including counselling should they need it or feel out of sorts from the ‘Culture Shock Wave’ – which is very common and understandable in moving to a new environment. Our Professors are able to interact with the students and are able and have in the past fed up-stream observations and concerns which can result in additional support/considerations. Our Graduate Resident Advisor is our main hands on contact, living alongside the students, accompanying all trips and excursions, our 2026 Graduate Resident Advisor Alicia Vides, is both a former student and former Graduate Resident Advisor so knows where everything is, how everything works and interacts daily with the programme Director. For anything more serious, The John Radcliffe Hospital in Oxford is only 2 miles from College (10 mins) and is open 24 hours a day. Urgent out of hours health care is accessible by calling free on 111 and many out of hours care appointments/treatments if deemed urgent will be guided to the John Radcliffe Hospital for assessment. Treatment at the hospital ER unit is free to all, though it should be noted any subsequent follow up treatment or admissions, not considered emergency may need to be paid for as overseas visitors typically need to pay for non-emergency NHS services unless they qualify for an exemption (like for certain short-term visits or specific visas). The student will need to prove your status, so carry your passport and visa/student documents to show you’re a temporary visitor. This is why all students need to travel with insurance.

When Your Student Returns Home

Upon returning home, your student may be a little different—more independent, mature, and possibly even facing challenges in readjusting to their usual routines. Be patient and open-minded as they process their experiences, and help them connect with resources to ease this transition. Ask them about their time abroad, and be prepared to support them as they re-adapt to life back home.
